Privacy Policy

Nanopoulos Foundation, Inc. (“we,” “us,” or “our”) is a 501 (c) (3) not-for-profit organization, based in New York State, US.  We run an online community platform featuring blogs and papers from contributors around the world, and we organize education and fundraising events. This Policy explains, in plain language, how we collect, use, and protect personal information across all of these activities, and what rights you have.

1. Information We Collect

Depending on how you interact with us, we may collect:

  • Contact details: name, email, phone number, organization, and mailing address, for example, when you subscribe to updates, register for an event, or submit a blog post or paper.
  • Event and program information: registration details for webinars, workshops, and summer schools, and information you share with us as a speaker, presenter, or contributor.
  • Donation information: your name, contact details, and donation amount. Payment card details are handled directly by our payment processor  we do not store your card number.
  • Website usage data: pages visited, browser type, and similar technical information, collected through cookies (see Section 4).

2. How We Use Your Information

We use your information to:

  • Run our platform and publish contributed blogs and papers with your consent.
  • Register you for webinars, conferences, workshops, summer schools, and other events we organize and communicate with you about them.
  • Process donations and send receipts or acknowledgments.
  • Send newsletters and updates, where you’ve asked to receive them.
  • Keep our systems and events secure, and meet our legal and tax obligations as a nonprofit.

We only use your information for the purpose you gave it to us for, or a closely related purpose we don’t repurpose it for anything you wouldn’t reasonably expect.

3. How We Share Your Information

We do not sell your personal information, and we don’t share it for advertising purposes. We do share it in limited, necessary circumstances:

  • Service providers: companies that help us run our website, process payments, or send emails, who may only use your data to provide that service to us.
  • Our partner organizations in Europe: when we co-organize events with partner organizations, we share the registration information needed to run the program, and we have an agreement with each partner covering how they may use it.
  • Legal reasons: if we’re required to by law, or to protect the safety of our community.
  • Business changes: if the Foundation were ever to merge with or transfer activities to another organization, under the same privacy commitments.

4. Cookies

Our website uses basic cookies to keep it running securely and to understand, in aggregate, how visitors use our site. Where required by local law (including in Europe and the UK), we ask for your consent before using any non-essential cookies, and you can change your preferences at any time through your browser settings or our cookie settings tool.

5. Where Your Information Is Stored

We are based in the U.S., and information is generally stored and processed here. When personal information travels from Europe or the UK to us in the U.S., we use standard legal safeguards to keep it protected to the same standard.

6. How Long We Keep Your Information

We keep your information only as long as we reasonably need it  for example, for the duration of your relationship with us, plus a period afterward to meet our recordkeeping and tax obligations as a nonprofit. After that, we delete it.

7. How We Protect Your Information

We use reasonable safeguards to protect your data, including restricting access to authorized staff, encrypting sensitive information in transit, and reviewing our security practices periodically, consistent with New York’s data security law (the SHIELD Act). No system is 100% secure; if we ever become aware of a breach affecting your data, we will notify you and any authorities required by law.

8. Your Privacy Rights

Wherever you’re located, you can ask us at any time to:

  • See a copy of the personal information we hold about you.
  • Correct information that’s inaccurate or out of date.
  • Delete your information, where we’re not required to keep it for legal reasons.
  • Stop using your information for a particular purpose, or withdraw a consent you previously gave us.
  • Receive a copy of information you gave us in a usable, portable format.

If you’re in the European Economic Area or UK, these rights come from the GDPR/UK GDPR, and you can also complain to your local data protection authority if you’re unhappy with how we’ve handled your information. If you’re in California, similar rights are available to you under the CCPA, and we do not sell or share your information as those terms are defined under that law. To use any of these rights, just email us at the address in Section 12  we’ll respond within 5 working days.

9. Photos, Videos, and Published Content

Summer schools, workshops, conferences, fundraising events and webinars are sometimes photographed, recorded, or livestreamed, and blog posts or papers are published under the contributor’s name. Before we publish any photo, video, or written piece identifying you, we ask for your consent and explain how and where it will be used. You can ask us to stop using your image or take down a piece we control at any time by contacting us  this won’t affect copies already shared publicly before your request.

10. Children’s Privacy

Our website and programs are not directed at children under 13, and we don’t knowingly collect their personal information. If you believe a child has shared information with us, please let us know so we can remove it.

11. Changes to This Policy

If we make a material change to this Policy, we’ll update the “Effective Date” above and post a notice on our website. We encourage you to check back from time to time.
